A tutor management system handles schedules, invoices, and teacher pay as you grow into an academy. Halqora fits solo tutors of any subject who are adding teachers or international families; Starter costs USD 39/month for up to 25 active students as of October 2026.
Halqora is our product. We’ve tried to keep this comparison fair: competitor details come from their public pages, linked and dated below. Tell us if anything is out of date at support@halqora.com.
When does a solo tutor need management software?
Management software becomes useful when another teacher needs to follow a schedule, a family needs an invoice you can explain, or a missed class changes both billing and pay. Student numbers alone do not tell you whether you need a different system.
Halqora is management software for online academies running live one-to-one classes: a maths tutor taking on a second teacher, a piano teacher building a small studio, or a language tutor with students on three continents. Each class has one teacher and one student. Murouj Academy runs on Halqora.
Before choosing software, write down who owns scheduling, records outcomes, sends invoices, and approves teacher pay. If every task still depends on your memory, adding a teacher also adds a handover problem. The guide to going from solo tutor to academy covers that change in responsibility.
The problems tutors describe as they grow
Tutors describe practical friction rather than a shortage of features. In a Hacker News discussion about tutoring tools, a tutor describes confusing software and clients returning to text messages. The discussion was checked on 21 October 2026. A booking system has little value if families cannot follow the process.
Payment policy can be harder to change after lessons begin. A Mumsnet discussion about charging for tutoring in advance, checked on 21 October 2026, describes the difficulty of introducing advance payment and cancellation terms later. Explain the terms before accepting a family.
Invoice preparation is another recurring job. A Mac Power Users discussion about tutoring invoices, checked on 21 October 2026, describes manually building invoices around different lesson lengths and types. Once another teacher delivers lessons, the invoice also depends on someone else’s records.
How Halqora maps to each problem
Halqora gives families a permanent private class link showing the next class. Families also receive private invoice pages and PDFs without creating accounts. Links do not expire; replacing a link stops the old link from working. Keep links private when sharing them with parents.
Scheduling uses scheduling rules in each IANA time zone. You manage the timetable rather than asking teachers and parents to maintain separate versions. Halqora’s academy management features connect the schedule to recorded class outcomes, billing, and payroll.
Billing runs create draft invoices for review. With postpaid billing, the draft uses billable classes from the previous month. With prepaid billing, the draft forecasts scheduled classes and reconciles the previous forecast against actual billable classes. A class that was not delivered is not necessarily nonbillable: the recorded outcome matters.
Siblings can share a family invoice for their separate classes. Each student has a currency, and invoices are never converted. A family account mixing currencies needs attention rather than a combined invoice. Dashboard USD totals are approximate, so use the invoice currency when checking balances.
After an admin reviews and sends an invoice, unpaid invoices receive automatic email reminders. You can set invoice due days, reminder timing, and email wording. Keep your payment terms aligned with the process families will actually see.
What you pay at 18, 30 and 40 students
| Active students (count) | Teachers (count) | Halqora plan and cost (USD/month) | TutorBird cost calculation (USD/month) | What the comparison covers |
|---|---|---|---|---|
| 18 | 1 | Starter: 39 | Base: 16.95 | Halqora includes scheduling, outcomes, invoicing, payroll, and internal teacher reports. TutorBird charges a base subscription. |
| 30 | 2 | Academy: 99 minimum | 16.95 + 4.95 = 21.90 | Halqora’s student-based charge falls below its minimum. TutorBird adds a tutor charge. |
| 40 | 3 | Academy: 100 | 16.95 + (2 x 4.95) = 26.85 | Halqora charges by active student. TutorBird adds charges for extra tutors. |
Example: the table uses the supplied student and teacher counts, with prices as of 21 October 2026. According to TutorBird’s pricing page, the base subscription costs USD 16.95/month and each additional tutor or staff member costs USD 4.95/month. The displayed TutorBird totals are arithmetic from those prices.
Example: at 30 active students, 30 x USD 2.50 = USD 75/month, so Halqora’s USD 99 minimum applies. At 40 active students, 40 x USD 2.50 = USD 100/month. At 18 active students, Starter remains USD 39/month.
An active student has at least a class scheduled or taught in the billing month. Starter covers up to 25 active students. Academy costs USD 2.50 per active student per month, with a USD 99 minimum. Scale has custom pricing for 300+ students. Annual billing gives 2 months free. The offer includes a 14-day pilot, free onboarding, and data import.
Hiring your first teacher: pay rules and contracts
Hiring a teacher means separating the family’s bill from the teacher’s earnings. Halqora calculates teacher pay per class from an hourly rate, without currency conversion. Agree the working arrangement and payment process before teaching starts, and check that Halqora’s fixed outcome rules fit that agreement.
Rules such as teacher lateness are fixed in this version. Up to 2 minutes late carries no deduction. At 3 to 5 minutes late, the deduction is a flat 5% of that class’s pay. Beyond 5 minutes, the teacher loses a minute of pay for each minute late, counted from the scheduled start, with a floor of zero.
For a student no-show, the teacher receives full class pay after waiting at least half the class. An admin records wait minutes and late minutes. Teachers record completed classes with reports, student no-shows, or student cancellations; admins resolve other outcomes and record emergency exceptions.
Completed-class reports contain a rating and written feedback for admins. Families do not see those reports. Payroll for the period waits until completed-class reports are in. Read about teacher payroll tied to class outcomes before building your teacher agreement around the workflow.
Business obligations remain separate. As of 21 October 2026, GOV.UK’s trading allowance guidance describes an annual GBP 1,000 allowance and Self Assessment registration above that threshold, subject to conditions. This is general information, not legal or tax advice; check with an adviser in your country.
For US contractor payments, IRS Form 1099-NEC instructions, as of 21 October 2026, describe reporting qualifying nonemployee compensation of USD 2,000 or more for payments made in 2026 onward. This is general information, not legal or tax advice; check with an adviser in your country.
When a cheaper tool fits better
TutorBird is the cheaper subscription in every example above. A solo tutor needing an inexpensive organizer has a clear reason to consider TutorBird. A growing team that wants software costs tied to additional tutors and staff rather than active students also has a reason to compare TutorBird carefully.
Halqora’s case rests on whether the connected outcome, invoice, and payroll workflow fits your teaching business. Do not pay more merely because you hope to grow. Compare free tutoring management software options against the work you actually need to hand over.
Keep the software decision separate from lesson pricing. The guide to how much to charge for online tutoring can help you consider your fees without treating a software subscription as the whole cost of teaching.
What Halqora doesn’t do
Halqora’s class and payroll rules are fixed. If your teacher agreements require different lateness deductions or no-show waiting rules, the current workflow may not fit. Use the pilot to review real schedules, draft invoices, and payroll outcomes before moving your administration across.
