Tutoring software pricing follows a flat-plan, tutor-seat, student-lesson or active-student model. As of 21 October 2026, TutorCruncher’s US plans start at USD 30/month, Teachworks at $15/month plus $0.25 per student lesson, and TutorBird at $16.95/month plus $4.95 per additional staff seat.
What are the four pricing models in tutoring software?
Tutoring software pricing changes with the unit you buy. Flat plans charge for a package, seat plans charge for tutors or staff, lesson plans charge for teaching activity, and active-student plans charge for the roster that meets the vendor’s activity rule. Compare the unit before comparing the headline price, because a larger roster and a busier timetable affect these models differently.
- Flat plan: compare the features included at each tier. According to Classcard’s pricing page, as of 21 October 2026, Starter costs $99/month, Growth $199/month and Business $349/month. Growth includes recurring billing.
- Tutor or staff seat: count everyone who needs a paid account. TutorBird’s additional-seat charge applies to staff as well as tutors.
- Student lesson: count student participation, rather than treating every calendar event as the same unit. Ask the vendor how cancelled lessons enter the usage total.
- Active student: ask what makes a student active and when the vendor measures activity. A stored student record and a billable active student need not mean the same thing.
Model names can hide different definitions. As of 21 October 2026, Wise (wise.live)‘s pricing page labels plans Pay Per Session and Pay Per Seat at 0.69 per unit, but does not state a currency. Do not put that figure into a currency comparison until the vendor confirms the currency and unit.
Start with what tutoring management software does, then price the work you actually need covered. A cheap package that requires separate billing work may be a poor fit for your operation.
How much does TutorCruncher cost?
TutorCruncher lists a monthly subscription plus payment percentages, so the subscription alone is an incomplete budget. As of 21 October 2026, its US page lists Pay as you go at USD 30/month, Startup at USD 80/month and Enterprise from USD 240/month, excluding tax. Use the regional page that applies to you; the UK and US figures are separate offers, not currency conversions.
According to TutorCruncher’s UK pricing page, the monthly plans are GBP 25 for Pay as you go, GBP 60 for Startup and GBP 200 for Enterprise. The page lists card rates of 2.65%, 2.3% and bespoke rates respectively. Offline-payment fees are 1%, 0.65% and 0.5%.
The US page lists standard card rates of 3.85% on Pay as you go and 3.5% on Startup, with negotiated Enterprise rates. Non-integrated payments carry fees of 1%, 0.65% and 0.5% respectively. International cards add 1.5%, according to that page.
TutorCruncher’s UK page also lists extra branches at GBP 40/month each, a custom domain at GBP 75/month and a 2-week trial. Confirm regional add-ons separately. A lower subscription with a higher payment percentage can cost more as collections grow; the supplied list prices cannot establish your total without your collection amounts and payment mix.
How much do Teachworks and TutorBird cost?
Teachworks charges for student lessons, while TutorBird charges for additional tutors and staff. Teachworks’ bill therefore responds to lesson volume; TutorBird’s subscription responds to the number of paid accounts. As of 21 October 2026, Teachworks’ public page also shows competing price sets, making confirmation necessary before you choose a plan. TutorBird’s page shows a dollar sign without naming the currency.
Teachworks lists Starter at $15/month plus $0.25 per student lesson, Growth at $45 plus $0.15, and Premium at $175 plus $0.05. Its higher set lists $16.49 plus $0.32, $47.99 plus $0.189, and $187.99 plus $0.065 respectively. Teachworks says students, teachers and users are unlimited and lists a 21-day trial.
TutorBird lists an all-features plan at $16.95/month plus $4.95 per additional tutor or staff member. TutorBird says students are unlimited and lists a 30-day trial without a credit card and a 90-day money-back guarantee.
TutorBird is a stronger price candidate when your roster grows while your staff count stays low. Teachworks is worth considering when you need unlimited staff accounts and prefer a charge tied to lesson activity. These are useful differences, not proof that either product covers every workflow you need.
How does active-student pricing work at Oases, Muallim and Halqora?
Active-student pricing can follow roster activity without charging separately for each lesson, but vendors apply different structures. Some sell bands and others charge per student. As of 21 October 2026, Oases lists student bands and Muallim lists a per-student rate. Halqora combines a small-roster Starter plan with an Academy rate and minimum, so compare the applicable plan rather than multiplying every roster by the same rate.
According to Oases Online’s public pricing, monthly bands are $99 up to 25 active students, $199 up to 60, $299 up to 100, $399 up to 140, $499 up to 200 and $699 up to 350. Oases shows a dollar sign without naming the currency. A band changes the subscription when you cross its boundary.
According to Muallim’s pricing page, the charge is $3 per active student per month, with a 30-day trial. Confirm the vendor’s definition of activity before applying that rate to your roster.
Halqora is management software for online academies. Starter costs USD 39/month for up to 25 active students. Academy costs USD 2.50 per active student per month, with a USD 99 minimum. Scale is custom for 300+ students. Annual billing gives 2 months free; onboarding and data import are free, with a 14-day pilot.
Halqora counts a student as active when the student has at least 1 class scheduled or taught in the billing month. Halqora currently handles one-to-one classes and a fixed set of 5 Quran and Islamic subjects. Those limits matter more than a subscription saving if your teaching needs differ.
What do 100 students and 10 tutors cost on each model?
The worked example compares subscription arithmetic using list prices as of 21 October 2026, not quotes or actual academy spending. Example assumptions are 100 active students, 10 tutors or staff including the owner, and 1,200 student lessons per month. Features differ, currencies remain as listed, and payment charges remain outside the subscription figures. Cost alone does not make this a like-for-like comparison.
Example monthly subscriptions at the stated activity level
| Vendor | Model | Formula using monthly inputs | Monthly subscription (listed currency/month) | Excludes |
|---|---|---|---|---|
| TutorBird | Tutor/staff seats | $16.95 + 9 × $4.95 | $61.50; currency unnamed | Payment charges, if applicable |
| Teachworks, lower set | Base plus student lessons | $45 + 1,200 × $0.15 | $225 | Payment charges, if applicable |
| Teachworks, higher set | Base plus student lessons | $187.99 + 1,200 × $0.065 | $265.99 | Payment charges, if applicable |
| Oases | Active-student band | Up-to-100 band | $299; currency unnamed | Charges outside the listed band |
| Classcard Growth | Flat plan | Growth subscription | $199 | Card processing |
| Teach ‘n Go | Live-student band | Up-to-100 plan | $79; also listed as EUR 69 | Onboarding and migration |
| Muallim | Active student | 100 × $3 | $300 | Charges outside the listed subscription |
| Halqora Academy | Active student | 100 × USD 2.50 | USD 250 | Payment-provider charges |
| TutorCruncher US Pay as you go | Plan plus payment percentages | USD 30 + applicable payment percentages | USD 30 before payment charges | Payment percentages |
Teachworks needs a plan comparison within each price set. Example arithmetic on the lower set gives Starter $15 + 1,200 × $0.25 = $315 and Premium $175 + 1,200 × $0.05 = $235. Growth at $225 is cheaper. On the higher set, Growth is $47.99 + 1,200 × $0.189 = $274.79; Premium at $265.99 is cheaper. Higher-set Starter is $16.49 + 1,200 × $0.32 = $400.49.
According to Teach ‘n Go’s pricing page, as of 21 October 2026, the up-to-100-live-student plan lists EUR 69/month alongside $79. Pro at that roster size lists EUR 99 alongside $109. These are the vendor’s displayed prices, not exchange-rate calculations.
TutorBird and Teach ‘n Go display lower subscription numbers than Halqora in this example. TutorBird’s currency needs confirmation, and all vendors still need a feature check. The table does not establish the cheapest total operating cost.
What costs sit outside the headline subscription?
Costs outside the headline subscription include payment percentages, transaction charges, additional branches and setup work. Separate recurring charges from initial charges before comparing vendors. As of 21 October 2026, the supplied public pages give concrete examples of these costs, but do not establish average spending for real academies. Request a written breakdown against your own payment mix and migration needs.
Classcard lists domestic platform card processing at 2.9% + $0.30 and international processing at 3.9% + $0.30. The percentage depends on money collected, while the fixed amount depends on transaction count. Neither belongs inside a subscription-only comparison.
Teach ‘n Go lists an onboarding pack at EUR 500 and migration at EUR 150. Its page also offers 2 months free with annual billing. Halqora’s published terms include free onboarding and data import. Ask what the import covers: roster fields, balances and class schedules are separate jobs to discuss.
TutorCruncher’s non-integrated-payment percentages also deserve attention. Moving collections outside an integrated card flow does not necessarily remove the software vendor’s payment charge. Confirm the contract before treating an outside payment route as fee-free.
Use questions to ask in a software demo to check the quote against actual workflows. Ask the vendor to identify every paid account, paid add-on and usage unit in writing.
Which pricing model fits your academy?
The right pricing model follows the part of your operation that changes most predictably. A stable staff count favors evaluating seats; variable teaching activity favors evaluating lessons; a seasonal roster favors examining active-student definitions. A flat plan can be easier to budget when the needed features fit its tier. Choose the workflow first, then compare costs at your actual activity level.
- Count your chargeable units. Use active students, staff accounts and student lessons from your own records. Do not substitute enrolled students for active students without checking the definition.
- Price the applicable tier. Include minimums and band boundaries. Compare every usage plan, because a larger base fee can bring a lower total at your lesson volume.
- Add collection and setup costs. Keep currencies separate and request clarification where the vendor leaves a currency unnamed.
- Check operational fit. Confirm supported subjects, class format, invoice review and teacher workflows. A low price cannot compensate for missing work your academy depends on.
Trials help you check those workflows, but a trial is different from an ongoing free plan. The guide to free tutoring software and what you get can help you distinguish temporary access from a lasting budget choice.
