Set each recurring class schedule as a rule with a weekday, local start time, duration, time zone, teacher and student. Handle holidays and changes as exceptions to individual classes, link makeups to missed lessons, and pause the rule for long leave under a written policy.
What should a recurring class rule store?
A recurring class rule should preserve the agreement with the family: who teaches, who attends, when class starts locally, how long class lasts and which time zone governs the start. Add the rule’s start and end dates. Keep individual class outcomes separate so a cancellation changes the affected lesson without erasing the normal weekly slot.
Store a named IANA zone rather than a fixed offset. A local start time without a zone leaves the teacher guessing when clocks change. A copied calendar event also makes later corrections harder: you must work out which copies still represent the original agreement.
Use the rule for future planning and the occurrence for what happened. Preserve the scheduled time even when recording a cancellation. For a move, retain the connection between the original class and its replacement. That connection lets an admin explain why a lesson disappeared from one date and appeared on another.
Before saving a rule, confirm the family’s local time and the teacher’s displayed time. Resolve any mismatch before promising the slot.
How many classes a week should you schedule?
Choose weekly frequency around the student’s availability and the teacher’s calendar, then describe the monthly package separately. According to TarteeleQuran’s fee page, as of 21 October 2026, its 30-minute packages range from 2 to 5 weekly classes. That is a useful package example, not evidence that every academy should offer the same pattern.
TarteeleQuran lists USD 40 per month for 2 weekly classes, described as 8 classes, and USD 88 for 5 weekly classes. Keep those published package terms distinct from the actual occurrences a weekday rule generates in a calendar month.
Decide whether your fee buys a stated package or follows the month’s actual billable classes. A weekly rule alone does not answer that billing question. Write the answer where the family accepts the package.
Agree on duration before repeating the slot. Changing duration later affects the teacher’s neighboring lessons as well as the student’s timetable. Use the practical questions in choosing class length before filling the calendar.
How should you schedule public holidays and Eid?
Keep the weekly rule and cancel the affected holiday occurrences. Publish whether the monthly fee includes those breaks, whether a charge is removed, or whether a replacement lesson is due. TarteeleQuran says, as of 21 October 2026, public holidays and Eid are included without refunds or credits, and Eid is paid teacher leave without makeups.
TarteeleQuran’s approach suits families who prefer a stated monthly fee with published breaks. IQRA Network’s stated full-session refund when a teacher cancels suits families who want that cancellation outcome clearly defined. These policies offer different kinds of certainty; neither should silently become your academy’s policy.
For Eid, communicate the planned break and explain how you will confirm the affected dates. Dates vary by moon sighting, so avoid presenting an expected date as settled.
Keep the calendar decision separate from the fee decision. Removing a class from the timetable does not explain whether the family owes money or a makeup is due. Check both records before announcing the break. These are scheduling examples, not religious rulings.
What should happen during student leave?
For planned long leave, stop future occurrences for the agreed absence and record when the student expects to return. Explain whether the regular slot is held and whether missed lessons earn makeups. As of 21 October 2026, TarteeleQuran says leave over 5 days does not receive makeups. Avoid building an open-ended replacement queue during an absence.
Separate planned leave from unexplained absence. Hidayah Network says, as of 21 October 2026, enrollment may be canceled after 10 days of absence without notice. That published rule shows why families need a clear way to tell the academy about travel or illness.
Use a leave record that answers these questions:
- When do regular lessons stop?
- Is the teacher holding the student’s usual slot?
- What happens to charges during the absence?
- Who confirms the return before lessons resume?
If your calendar cannot pause a rule, end the current rule and create the returning arrangement after confirmation. Do not leave future classes running and expect the teacher to mark each absent lesson manually.
How do you change teachers without moving the family’s slot?
End the old rule at the departing teacher’s final date and start a new rule for the replacement teacher. Preserve the weekday, local start time, duration and time zone when the replacement teacher is available. Keep past occurrences assigned to the original teacher so completed work, reports and pay remain attached to the person who taught.
Check the replacement teacher’s calendar before telling the family the slot is secure. Compare both teachers’ local displays, especially when their countries follow different clock-change dates. An unchanged family time can mean a changed working time for the replacement teacher.
Explain who will teach and when the change begins. Do not rewrite historical classes to make the timetable look tidy. Historical records answer a different question from the future rule: who actually taught the lesson?
A temporary absence needs a decision about the affected class. Keep that decision separate from a permanent teacher change, which changes the future arrangement.
How should you record exceptions and their billing effects?
| Exception | How to record it | Billing effect | Example published policy, as of 21 October 2026 |
|---|---|---|---|
| Public holiday or Eid | Cancel the affected occurrence; keep the rule | State whether the fee includes the break | TarteeleQuran includes the break without refunds or credits |
| Student short-notice cancellation | Record cancellation and actual notice time | Charge follows the applicable policy | IQRA requires at least 4 hours’ notice |
| Student leave over 5 days | Pause future occurrences; record return arrangements | Explain fee treatment separately from makeup eligibility | TarteeleQuran gives no makeups for this leave |
| Teacher absence | Record the teacher-caused absence; use missed_by_teacher for a no-show | Record the fee decision separately from the replacement lesson | IQRA says teacher cancellation qualifies for a full-session refund |
| Reschedule | Move the occurrence and retain its history | Avoid counting the original as another delivered lesson | IQRA requires rescheduling within 30 days |
| Makeup | Link the makeup class to the original missed lesson | Check the original charge before billing the replacement | Hidayah caps makeups at 4 per month |
| Teacher change | End the old rule; start the replacement rule at the agreed time | Preserve past charges and teacher records | No teacher-change policy is supplied in these examples |
An exception needs a calendar record and a fee decision. Use the table to check both before closing the case. The academy policies above are published examples, not Halqora settings. A canceled occurrence, a moved occurrence and a makeup represent different events, even when each eventually puts a lesson into the same empty slot.
Keep the reason and actual cancellation time with the original occurrence. For replacements, make the link visible to the admin reviewing charges. See running makeup classes without chaos for the booking process.
What should you check when clocks change?
Check the recurring rule’s governing zone and each participant’s displayed time before clock changes. As of 21 October 2026, the UK government’s clock-change dates are 29 March and 25 October for 2026. NIST’s US daylight-saving guidance gives 8 March through 1 November for 2026 where daylight saving applies, with changes at 2 a.m. local time.
The UK and US dates differ. During the gap, a lesson that stays at the family’s local time can move on the teacher’s local clock. Do not fix that by changing every future lesson to match a temporary offset.
Check the named locations, confirm the next affected class with the teacher and family, and record any agreed exception. For the underlying distinction, see UTC vs local time for recurring classes.
How Halqora handles this
Halqora is management software for online academies. Halqora scheduling stores scheduling rules in each IANA time zone, shows admins the academy’s zone and teachers their own zone, and supports one-to-one classes. Admins can book a makeup when resolving a missed class.
Teachers record completed classes with internal reports, student no-shows and student cancellations; admins resolve other changes. Fixed outcome rules include no student charge for cancellation at least 3 hours ahead and no charge for teacher cancellations. Billing runs create draft invoices for admin review and sending. Halqora has no holiday calendar or configurable makeup cap today.
